How It Works - Multiple Files Download

The Multiple Files Download app automatically generates a downloadable link for a group of files and stores it in a specific property. This app works with HubSpot standard objects!

If you still need to install and/or activate Multiple Files Download on your HubSpot portal, please follow the instructions in the Setup Guide.

The Multiple Files Download app enhances file management by allowing users to easily compress multiple files into a shared zip file, making it convenient to organize and share files within your HubSpot portal. Additionally, it speeds up file sharing processes both internally within your team and externally with clients. This app streamlines communication and collaboration, ultimately improving productivity and efficiency.

flash How to use it

  1. Go to workflow and create an automation based on HubSpot standard objects: contacts, companies, deals, and tickets.
    The app adds 1 new action to the Workflow tool.

  2. Select the Multiple Files Download workflow action and click the “Save” button to add it to the Workflow.
    Once done, publish your Workflow.
  3. Enter a contact page, make sure to have at least one attachment to the contact record, and click the “Select Files” button in the Multiple Files Download CRM card.

    Please note: If a contact has no files attached, the button won’t be visible.
  4. Select all the files you want to compress within the shared zip file and click the “Save” button.

    Be mindful of this
      • If the CRM card is never used for this contact, the Workflow will include all the contact’s attachments in the downloadable zip file.
      • If you have used the CRM card at least once, but there are no files selected, the zip file won’t be created by the Workflow when you click the “Save” button.

  5. Wait until the loading is finished, and close the tab.
  6. It’s now time to test the Workflow!
    Enroll the contact in your Workflow manually or by triggering one of your rule conditions.
  7. Ensure that the Workflow has successfully filled in the “Link to zipped attachments” contact property with the downloadable link*.

    *The links generated by the app have a validity period of 7 days. After the 7 days have passed, the links will not be accessible anymore.

    **Maximum size of the attachments must not exceed 200mb. If this limit is exceeded, the app may not generate the link.

Improve your sales and marketing strategy by effortlessly manage and share file links within you email communications using personalization tokens

Maximize the app's capabilities by following these tips:
Use a trigger property to start the workflow after attaching the file to your contact.
  • select the files in the CRM Card
  • change the trigger property value
Once the link populates the value of the property, you can use it in an email by inserting a personalization token.
The link will be a clickable element within your email.

Alternatively, you can insert your personalization token into a snippet or template to use it within your sales emails.

flash Troubleshooting


1. If you have used the CRM card at least once, but no file is selected when you click the “Save” button, the zip file will not be created by the Workflow.
The “File not found” error will be displayed in the Workflow issues.

2. If clicking on the link displays an error screen saying 'Invalid Token', it means that more than 7 days have passed since the link was created and that it has therefore expired.

3. If a contact is enrolled in the workflow and the link is not generated, the causes may be:
- Attachments were not detected by the app (see next paragraph).
- The total size of the attachments is more than 200mb and the app fails to generate the link.

Our app can identify all note-generating attachments and those arising from emails, conversations and forms. Attachements entered into HubSpot in additional ways may not be correctly identified.
